1. Who we are
OnBoardIT ("we", "us") is an IT services business based in Asherville, Sydenham, Durban, 4091, South Africa. We are the responsible party for the personal information described in this policy, as defined in the Protection of Personal Information Act 4 of 2013 (POPIA).

2. What information we collect
- Enquiries: your name, phone number, email address and the details you give us when you use the contact form, WhatsApp, call or email us.
- Client records: billing details, addresses for on-site visits, quotes, invoices and job history.
- Devices and systems we work on: while repairing or supporting a device, network, website or mailbox, we may have access to files and data stored on it. We only access what is needed to do the job.
- Website data: our web server keeps standard technical logs (such as IP address, browser type and pages requested) for security and to keep the site running. We do not use advertising or tracking cookies.
3. How we use it
- To respond to your enquiry and provide quotes.
- To carry out repairs, support, hosting, development and design work you have asked for.
- To invoice, keep records and meet our legal and tax obligations.
- To contact you about work in progress or services you use with us.
- To keep our website, servers and systems secure.
We do not sell, rent or trade your personal information, and we do not send marketing messages unless you have agreed to receive them.
4. Your data on devices and systems
We treat any data we encounter on your devices or systems as confidential. We do not copy, keep or look through your files beyond what is necessary for the work. Where a backup is needed during a repair (for example before reinstalling Windows), it is kept only until the job is complete and then deleted, unless you ask us to keep it.
5. Remote support
Remote sessions only start with your permission. You can see everything we do and end the session at any time. Access ends when the session closes.
6. Sharing your information
We only share personal information when it is needed to deliver our service or when the law requires it, for example with domain registries when registering a domain in your name, with suppliers when ordering parts or equipment for you, or with our payment and accounting providers. Anyone we share information with is expected to protect it.
7. How we protect it
We use reasonable technical and organisational measures to protect personal information, including secure servers, encrypted connections (HTTPS), access controls and strong passwords. No system is completely secure, but we work to industry standards and review our practices regularly.
8. How long we keep it
We keep enquiries and client records only for as long as needed for the purposes above, or as required by law (for example, financial records for tax purposes). After that, information is securely deleted.
9. Cookies and browser storage
This website does not use advertising, analytics or tracking cookies. The contact form uses a temporary session cookie to prevent spam, and your light or dark theme choice may be saved in your browser. Links to WhatsApp, Google, Facebook, Instagram or X take you to those services, which have their own privacy policies.
10. Your rights
Under POPIA you have the right to:
- ask whether we hold personal information about you and request a copy of it;
- ask us to correct or update inaccurate information;
- ask us to delete information we no longer need or are not entitled to keep;
- object to the processing of your information, including for direct marketing;
- lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).

11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
